Conference photography and headshots

Keynotes, breakouts, panels and the people in the room, photographed so you can use the images right away and again next year.

XPOSRE Media photographs conferences, from one-day meetings to multi-day programs, in New York City, New Jersey and Miami. Coverage is planned with your run of show: keynotes and breakouts, speakers, sponsors, networking and headshot stations, with a videographer from our team when you need video. Every image is edited in-house and delivered fast, on a timeline we agree with you before the event.

[ The job ]A program that can't be re-shot

A conference runs on fixed moments: the opening keynote, the sponsor's slot, the panel everyone came for, the award at the closing session. None of them can be staged again, and your team usually needs the images while the event is still news. Coverage works best when it is planned against the program before the doors open.

What we photograph

Speakers

Keynotes and panels from the angles that make people look sharp and engaged, including the moments the slides don't show.

Audience

Full rooms, reactions, Q&A and note-taking: the proof that people came and paid attention.

Sponsors and branding

Stage sets, signage, sponsor placements and activations, so sponsors see what they paid for.

Networking

Breaks, receptions and hallway conversations, the human side most attendees remember.

Multi-day conferences

A conference that runs two or three days needs a plan, not just a photographer. Before the event we agree on:

The goal is a set of photos that tells the story of the whole event, not just the opening keynote.

Headshots at your conference

A headshot station gives speakers and attendees a professional photo they can use on LinkedIn and their company profiles. We set it up where you want it and run it alongside the event coverage, or book it on its own. Staff portraits for your team, too. About five minutes a person when the line is organized; it can take longer when it isn't. Every headshot station comes with a backdrop and lighting. Setup and delivery to each person are confirmed with you when we quote.

How we work in the room

During sessions we work quietly and stay out of sightlines. We follow the venue's and the organizer's rules on stage access, flash and recording.

[ Photo and video ]A videographer from our team

A dedicated videographer from our team can film the conference: a highlight film of the event, interviews with speakers and attendees, recordings of keynotes and panels, and short social clips. One brief covers both the photos and the video. See event videography.

[ Delivery ]Organized, and fast

Every usable image is edited in-house and delivered fast, on a timeline we agree with you before the event. Photos arrive organized by day and part of the program, with headshots, group photos and video in their own folders. On multi-day programs we can send selected photos during the event, on a best-effort basis.

Questions planners ask

What do you need from us before the event?
The schedule, the venue, the sessions and people that matter most, sponsors to feature, and any brand or photo guidelines. A short call or email thread is usually enough.
Can you cover sessions running at the same time?
Yes. We bring as many photographers and videographers as the program needs, coordinate the team and give each person their sessions and responsibilities.
How many photos do we get, and when?
All usable images, edited and delivered fast. Tell us when you need them and we agree the timeline before the event.
Who will photograph our event?
An experienced photographer from the XPOSRE team, briefed on your program. Editing and the final quality check stay with us.
Can you run a headshot station during the conference?
Yes. We run headshot stations for speakers, attendees and staff, with a backdrop and lighting, and they can carry a sponsor's branding. It takes about five minutes a person when the line is organized, longer when it isn't. Setup and delivery to each person are confirmed with you when we quote.
How can we use the photos?
You can use them for your event marketing, reports, sponsors and social media. XPOSRE keeps the copyright; the usage terms are in the agreement you sign.
