What should an event photo delivery look like?
A planning guide from XPOSRE Media for planners who have opened one folder of 2,000 unsorted photos and never want to again.

Updated October 26, 2026
XPOSRE's planning guide: a good delivery is organized the way your team will use it, not one folder of photos. Expect folders by day and by part of the program, with headshots, group photos, sponsors and video kept apart, a small set of picks during the event for social media, and download links that still work when your team gets to them.
[ What to weigh ]Decision criteria
Sorted by day and part of the program
Day 1, Day 2, then the keynote, the breakouts, the reception. Your comms team finds the session it needs without scrolling through the whole event.
Headshots in their own folder
Attendees ask for their headshot days later. A separate headshot folder means you can find and forward one in seconds.
Group photos and sponsors apart
Group photos often go out the same afternoon, and sponsors want proof of their moment. Keeping both separate makes them easy to send on.
Picks during the event
On multi-day programs, ask for selected photos during the event, on a best-effort basis for social media and the event app. Same-day delivery is possible, at an added cost.
Links that still work
Download links can expire, and some company networks block file-sharing sites. Ask how long the links stay live and check one opens on your network before the event.
RAW or unedited files
Some teams want the unedited files for their own editors. If you do, say so before the event so it's part of the plan.
[ Compared ]One folder of photos, or a structured delivery
| One folder of photos | A structured delivery | |
|---|---|---|
| Finding the keynote | Scroll through everything | Open Day 1, then Keynote |
| An attendee's headshot | Search by face | Open Headshots |
| Social posts during the event | Wait for the full set | Picks each evening, on a best-effort basis |
| Video | Mixed in, or sent separately with no labels | Its own folder |
| Handing to the client or sponsors | Re-sort it yourself first | Forward the folder |
[ In practice ]Two deliveries we've made
- A three-day healthcare program in Downtown Miami: highlights every night, group photos the same afternoon, video B-roll for the client's editors, then a final delivery in four folders: Headshots, Day 1, Day 2 and Day 3. See the case study.
- A five-day sales kickoff for 350 attendees: twenty social picks every night and one gallery filled in day by day, so the agency's team could pull photos while the event was still running. See the case study.
